Privacy Policy

This policy describes how Oxylane Digital Solutions Ltd. (“ODSL”, “we”) processes personal information when you use www.oxylanedigital.co.zm and related enquiry channels.

Effective: April 2026  ·  Controller: Oxylane Digital Solutions Ltd., Lusaka, Zambia  ·  oxylanedigital@gmail.com

1. Scope and principles

We respect your privacy and process personal data fairly, lawfully, and transparently. This policy applies to visitors and enquirers who interact with our public website and contact options linked from it.

It does not govern customer platforms we host for third parties (for example branded USSD or web applications); those services are covered by separate agreements and notices.

2. Information we collect

Depending on how you use the site, we may process:

  • Contact and enquiry data — name, email address, subject line, message content, and any other fields you choose to provide when you use the Contact Us form or email us directly.
  • Technical and usage data — IP address, browser type, device type, approximate location derived from IP, pages viewed, referring URLs, and timestamps. This may be collected through server logs and analytics tools.
  • Cookies and similar technologies — as described in our Cookies Policy.

We do not intentionally collect special categories of personal data (such as health data) through this website. Please do not send us sensitive information unless we explicitly request it.

3. How we use information

We use personal information to:

  • Respond to enquiries and communicate with you about your request.
  • Operate, secure, and improve the website (including troubleshooting, analytics, and abuse prevention).
  • Comply with legal obligations and enforce our Terms & Conditions.
  • Send you information about our services where you have opted in or where applicable law allows legitimate interest outreach (you can opt out of marketing at any time).

Our lawful bases under the EU General Data Protection Regulation (where it applies) typically include contract (responding at your request), legitimate interests (running a secure site and limited business development), and legal obligation. Under Zambian law we align with fair information practice principles.

4. Sharing and processors

We may share data with:

  • Service providers who assist us (for example email delivery, hosting, analytics), bound by confidentiality and processing terms.
  • Professional advisers where required (for example lawyers or auditors).
  • Authorities when required by law or to protect rights, safety, and security.

We do not sell your personal information. If we use tools hosted outside Zambia (for example email or analytics), appropriate safeguards such as standard contractual clauses or equivalent measures may apply where required.

5. Retention

We keep enquiry and contact records for as long as needed to fulfil the purpose for which they were collected, including any follow-up sales or support relationship, and for a reasonable period afterwards for legal, tax, or dispute resolution purposes. Server logs are typically rotated on a shorter schedule.

6. Security

We implement appropriate technical and organisational measures designed to protect personal data against accidental loss, unauthorised access, or disclosure. No method of transmission over the Internet is completely secure; we encourage you to use strong passwords and secure channels when contacting us.

7. Your rights

Depending on applicable law, you may have the right to request access to, correction of, or deletion of your personal data; to restrict or object to certain processing; and to lodge a complaint with a supervisory authority. To exercise these rights, contact us using the details below. We will respond within a reasonable period.

8. Children

This website is not directed at children under 16. We do not knowingly collect personal information from children. If you believe we have received such information, please contact us and we will delete it where appropriate.

9. Updates to this policy

We may revise this policy from time to time. Material changes will be reflected by updating the effective date above. We encourage you to review this page periodically.
